We are currently seeking candidates for the position of Pastorate Office and Facilities Manager, that will oversee logistics for 20-30 annual ministry activities and social and community events (orders supplies, arranges cleaning and maintenance of facilities prior to and following events, etc.), serves as liaison with Greater Lafayette Central Administrative Office (GLCAO), external vendors, other pastorates, and local governmental agencies (police, fire, city services), and manages operations staff (operations, office, and maintenance staff).
Essential Duties: Develops a collaborative relationship with the GLCAO providing for the timely flow of documents and information essential to the highest level of effective operation for both the pastorate and GLCAO.
Interacts with the Human Resources Generalist at the GLCAO for all personnel matters pertaining to the pastorate.
Interacts with the Facilities Management Manager at the GLCAO for all facilities matters pertaining to the pastorate.
Coordinates operations expenditure approvals with pastor oversight and assists with the budgetary process for the pastorate.
Manages all general office administration.
Schedules and helps to lead regular staff meetings as well as one-on-one meetings with the pastor to ensure the effective sharing of essential knowledge and information.
Serves as the primary point of contact for parishioners and pastorate staff relative to the daily administration of the pastorate.
Maintains excellent pastorate operational records (personnel, facilities, and current contacts).
Manages custodial maintenance functions.
Maintain and manage church van and approved van drivers.
Assist as needed with logistics of the liturgical environment.
Serve as staff liaison for the annual parish picnic in August during Blockbuster.
Oversee ordering of church supplies for the office, kitchen, and general use, including liturgical supplies.
Brings ideas, plans, and best practices to the pastorate from diocesan meetings.
Manages major repairs, renovation, and capital projects in accordance with diocesan policies.
Facilitates the volunteer Facilities Committee and communicates with members to plan projects, budget for future needs, and coordinate with other groups and events on the campus.
Manages pastorate project plans in collaboration with the Facilities Committee; identifies needs and required action, tracks and communicates status to relevant stakeholders; identifies challenges to plan progress and completion and makes necessary corrections; implements initiative as applicable progress and identifies follow-up actions.
Communicates with all clergy and staff to ensure all necessary information such as project plan status, new assignments, and status of regular responsibilities is communicated to and by team members in a timely manner, identifies and addresses any challenges to progress and success.
Ensures pastorate security, leasing, rental, and use of pastorate facilities and acts as liaison to local government agencies.
Education/Experience:
Purchasing/Accounting Experience
High school diploma or equivalent. A Bachelor’s degree in office administration, business management, or related is preferred.
At least 3 years experience in Business, Operations, Facilities Management, or related area preferred.
3-5 years in an office setting desired.
Experience in a parish, non-profit, or ministry setting desired.
Experience in Church management is a plus.
Possess, respect, and ability to uphold Catholic Church’s teachings.
Possess initiative and a strong desire to achieve results.
Experience in change management is a plus.
Experience with Microsoft Office, Infinias key fob software, and camera security software.
Able to honor and maintain confidentiality.
Able to pass and maintain Diocesan child safety protocols.
Able to make real-time decisions pertaining to the requirements of the job.
Other Skills and Abilities:
Knowledge of and participation in the faith. (A practicing Catholic who adheres to and supports Catholic teaching desired.)
Highly effective written and oral communication skills.
Demonstrated leadership skills whereby effective in motivating staff and individuals who are not accountable to them in the delivery of timely results.
Is approachable and personable such that staff and parishioners are confident in engaging them for their leadership, knowledge, and support.
